Yes. Event planners can create an event by copying a previous event or an event template, which is a saved format of a registration.
Finance Systems will allocate user licenses to Cvent. Cvent accounts will be tied to WFU email accounts and use Google single sign-on. Generic email accounts cannot be used. Effective 07/01/2024, departments will be charged $100/year for each user license as the University has only a limited number of accounts as part of the Cvent contract.
Yes, Cvent can charge Sales tax and/or a Handling Fee (i.e. service fee) to cover costs.
All events with a “cost of admission” are required to collect 7% (Forsyth County) NC Sales Tax, per NC law. Taxes are collected from your attendees/payers by adding them to the base price of your item(s). Taxes must be added on top of the base price and may not be built in to the price. Please note that some Cvent sales do not meet the requirements to collect sales tax. The Financial Services team will advise you if your event must collect sales tax.
Yes. A quantity item allows invitees to enter the amount of a particular product they would like to purchase. Common examples include raffle tickets, DVDs, t-shirts or tote bags.
Yes. Donation items give invitees the option to contribute to a WFU association or cause during registration. We ask that you check with Advancement for approval. Please make sure you collect all the donor information in your event required by Advancement.
You may also be able to attach a donation link provided by Advancement. Please contact them for all the necessary information and approvals.
We ask that you notify Finance Systems of the gift designation for processing deposits. All donations being processed in Cvent will be posted to a gift clearing account and Advancement will be notified with the information to process the actual gift into Workday.
Yes. Many reports are available out-of-the-box with Cvent or reports can be generated based on the custom criteria or specifications you need. Reports can be excel, pdf, csv, word or mhtml (web archive).
Event planners can restrict who has access to their events to people in their department (see Event Visibility tab under Event Configuration). The Campus Financial Services team can see all events.
Cvent OnArrival is Cvent’s latest mobile app that makes tracking attendance as easy as a swipe of the finger. You can do this by downloading OnArrival with Apple iPhones, iPads, iPod Touches, and Android devices.
Check in and register attendees onsite. You can search through your attendee list by name or email, filter by registration type, or scan a barcode. Need to know their agenda or how they answered a registration question? Tap the invitee’s name to open their record. Register walk-ins on the spot.
You can use the OnArrival app to manually enter registration details for onsite registrants, but you may not use your mobile device to process those payments through the app. Instead, Financial Services offers a terminal that can be used to process onsite payments. If you would like to request the terminals for use, or have questions or concerns, please email Karen Hunter at hunterkk@wfu.edu. Onsite registrants can also access the event site from their own personal device, they can certainly complete the registration on their own as an alternative.
Accessing Cvent
In order to access Cvent, you must have been assigned a license. Then navigate to your Google Apps Launcher and click on the Cvent icon.
